Summary of our Privacy Policy
In brief, we collect very little personal data, and always for specific reasons, such as signing up to a newsletter. Once we have it, we treat it with great care and respect, just as we would want our data treated. We do not sell it on, and only pass it on if legally required to do so (such as if HMRC require details of our accounts including donations). Your data may pass through third-parties – such as Gmail or Mailchimp – but we have chosen organisations with robust privacy policies themselves. We adhere to the requirements of GDPR, so if you ever want to exercise any of your rights, such as your right to erasure, then we will comply swiftly. You can make any such requests either via our Contact Us form, or by emailing us at website@hasmissions.co.uk.
What information do we collect?
- If you complete the Contact Us form, then we will have the information you choose to put on there – most likely your name, email address and enquiry.
- If you sign up to the Newsletter, either via the form on the website or directly with us (such as in person/over the telephone/by email), then we will have your name and email address. Some people also add in a region of the world that they live in.
- If you send us an email we will have your email address and whatever information you choose to put into the message.
- If you donate to us via Stewardship we will have whatever information you permit Stewardship to forward to us (they do allow for anonymous giving). This would be most likely to include your name and size of donation.
- If you donate to us via Paypal, we will have your Paypal username / email and the size of the donation.
- If you donate to us via Bank Transfer we will have the reference that you put and the size of the donation.
- If you browse our website there are some third-party plugins that use cookies to make it run smoothly or collect data. Most of this is is just on your browser, or is anonymised, but companies like Google Analytics may collect information such as your IP address. Information is presented by them to us as statistics on regions, browser usage, operating systems etc. of visitors. However, even if you don’t accept cookies on your browser most things should still work in exactly the same way. We do not have any advertising on our site, so there are no personalised adverts or cookies for this. There is more information about what cookies are here.
What will we do with this data?
Based on the list of information above:
1,3. We just use your enquiry to respond to it appropriately. We don’t add you to a newsletter list or pass your information on in anyway.
- We use this data to send out our occasional newsletters as requested. There is an unsubscribe link on every email if you change your mind. We don’t give this information to anyone else.
4,5,6. We only use this information to fill out our legally required accounts and, if appropriate, send in to the HMRC. We don’t add you to a newsletter list or pass it on in anyway.
- We don’t do anything with this data, or give it to anyone. Sometimes the statistics are interesting, or help us to plan our website better if more people use a particular browser.
Where do we store this data?
Based on the list of information above:
1,3. Information from contact forms and emails is stored securely on password-protected devices.
- Our newsletter list is not stored on our personal computers, but is kept with MailChimp as our Marketing Automation Platform. By submitting you acknowledge that the information you provide will be submitted to MailChimp in accordance with their policies. There will be an unsubscribe option on every newsletter. If you sign up in person on a sign-up form, the physical copy is kept as GDPR consent in a locked security box.
4,5,6. Our financial account details are stored securely on password-protected devices. Required details are submitted to HMRC via their secure system.
- Any statistical information on web-visitors is not downloaded but kept with the appropriate third-party (such as Google Analytics).
What about third-parties?
The following third-parties are involved with data in these ways:
- Mailchimp – their privacy policy is at https://mailchimp.com/legal/privacy/. They securely store the name, email address, and sometimes region of newsletter subscribers.
- Gmail – we use them as our email provider, so email data passes through their servers. We do not encourage sensitive information, such as banking details, to be sent this way. However, they have robust safeguards in place. https://privacy.google.com/businesses/compliance/
- Financial parties – we use Stewardship, Paypal and Natwest, all of who have strong privacy policies and protection measures.
- HMRC – we pass legally required information on to the HMRC.
- Google analytics and similar plugin providers may collect IP addresses along with browser details.
What about deletion?
Financial records are kept as long as required legally.
Newsletter member details are kept as long as they remain on the newsletter list, but we purge details of unsubscribed members from records.
Email conversations are normally kept unless their deletion is requested.
Any requests for deletion are honoured in line with GDPR (ie, done within one month, unless the Right to Erasure does not apply in the circumstances).
Other notes
Once you have clicked a link and gone to another site we cannot control what happens to your data any longer. All of the links we’ve put in go to the external site as labelled, unless we’ve been hacked (and we’ve put a strong framework in place to prevent this – but it is advised that you always check the URL on any site). Some may contain a tracking cookie, such as going to Amazon using the affiliate link so that they know where to attribute the advertiser from, unless you have switched off cookies on your browser (in which case affiliate links won’t work).

Please note that we are never informed what you purchase from an affiliate link. With Amazon and easySearch we would not know who has used the service. With easyFundraising you have the choice whether to be anonymous or not. If you choose not to be anonymous, this still doesn’t tell us what you bought or where – it simply puts on their website that you are raising finance this way, with a username of your choice. However, we do not collect any data from any of the companies.
